The Challenge:
The Town of Midland was running out of space to put its numerous documents. Many individual offices were filled with files. Property, planning, engineering, and accounts payable records were taking up valuable space. The Town of Midland needed to increase the filing storage space and improve its organization of files.
Most files have to be retained for at least 5 years in the same building. The town’s existing filing systems were leaving little room for growth.
“We were forced to put everything in banker boxes and store it downstairs,” said Pauline Quenelle, Accounts Payable Clerk. “We were running out of options.”

The Solution:
A sales representative from Grand & Toy, one of the largest commercial suppliers of office products in Canada and a Spacefile dealer, recommended Spacefile because of the modularity of the products. They can be moved or rearranged very easily.
The municipal office now has each of Spacefile’s main high-density products. The Clerks Vault for Permanent Records contains a Static System and a Bi-File. The Tax Vault (for the Tax Department and the Water & Sewer Department) stores property files inside a Mini Storage Aisle (MSA). The largest project is in the basement where a large Mechanical Assist Mobile (SDS) stores all of the town’s revolving files. After 1 year, most Accounts Payable, Planning, Engineering, Treasury, Clerks and Payroll files are stored inside the SDS for 5 to 6 years.

The Result:
With its numerous Spacefile systems, the Town of Midland has been able to take its records out of boxes and put them inside easily accessible ThinLine tiers. The Spacefile solution has not only increased the amount of available floor space, but has also saved staff valuable time. The office is better organized and employees know exactly where to go if they need a specific file or document.
